Exciting and rewarding opportunity for a self-motivated, detail-oriented professional looking for a challenging and highly visible opportunity! This University of Utah School of Medicine position provides direct administrative support to the Division Chief of Hematology and Hematologic Malignancies, physically located at the Huntsman Cancer Institute. It requires a highly-motivated individual looking for a challenge; someone who is educated, proactive, highly-organized, extremely detail-oriented, able to prioritize and manage competing priorities, and able to function independently at a high-level.


This position is responsible for the day-to-day operations of the Division Chiefs administrative office. It encompasses a wide array of duties including complex calendar management, travel coordination, owning the faculty recruitment process and coordinating visits, meeting scheduling, and various projects as assigned. This position also provides administrative support to one research faculty member and the Deininger/OHare Lab at Huntsman Cancer Institute. Depending on the candidates background and career interests, this position could also include an opportunity for some staff personnel management. The incumbent should be able to perform as an extension of the Division Chief, think critically, solve problems and work independently with minimal supervision.

WORK SCHEDULE: Full-time, 40 hours per week, days, M-F 7:45-4:45.

  1. Responsible for the day-to-day operations of the Division Chiefs office including: complex calendar management, organizing agendas and events, scheduling meetings, screen all incoming communication, act as a liaison to both internal and external entities, daily schedule and meeting preparation, recording meeting minutes, planning complex travel, facilitating signatures, letter preparation/transcribing.
  2. Responsible for Division of Hematology and Hematologic Malignancies faculty recruitment visit coordination including: travel arrangement, reimbursements, generating itinerary, seminar scheduling, and serving as point of contact for all aspects of the visit.
  3. Maintain multiple versions of key faculty documents such as CV, biosketch, etc.
  4. Assist in manuscript and grant preparation and submission as requested, including proofreading/editing, generating figures/tables/graphs, and assisting with the submission process.
  5. Provide administrative support for Division Chiefs laboratory at Huntsman Cancer Institute.
  6. Represent the Division and the Division Chiefs office in a friendly and welcoming manner.
  7. Engage as a member of the Division administrative staff team and participate in Division events.


QUALIFICATIONS: Bachelors degree in Business, Finance, Health Care Administration or a related field, or equivalency required. Two years office management and supervisory experience, demonstrated knowledge of finance and budgeting, and public relations skills required. Demonstrated human relations and effective communication skills are also required.


PREFERENCES: Masters degree in related field, 5 years administrative assistant, or equivalent experience, knowledge of Microsoft Office applications, knowledge of University of Utah Health Sciences operations/applications, and familiarity with Huntsman Cancer Institute processes. High level administrative assistance experience preferred.
